2. Information we collect
We may collect your name, contact details, organisation, general site location, property or site type, approximate grounds size, contract timing and any information you choose to include in a message. If you become a client, we may also hold property access information, service records, quotations, invoices, site photographs and contract correspondence.
For private-estate enquiries, you do not need to provide a property name, exact address or details about household members at the first-contact stage.
3. How and why we use information
We use information to respond to enquiries, arrange site reviews, prepare quotations, plan and deliver services, manage client relationships, keep appropriate business records and meet legal obligations.
Our lawful bases are taking steps at your request before entering a contract, performing a contract, complying with legal obligations and our legitimate interests in operating and improving the business. We will seek consent before sending optional marketing communications.
4. How long we keep it
Enquiries that do not proceed are normally kept for up to 24 months so we can follow up appropriately and understand previous discussions. Client, contract, invoice and tax records are kept for the periods required by law and for the establishment, exercise or defence of legal claims. Information is deleted or anonymised when it is no longer needed.

We use proportionate organisational and technical measures to protect information. Access and security arrangements for private estates are treated as confidential operational information. Email is not completely secure, so particularly sensitive access details should be discussed by telephone or through an agreed secure method.
